THE ROLE
As the Executive Assistant, you will act as a key partner to ensure that the C-level (mainly the CEO) time and focus are optimized. This role combines high-level administrative support with strategic coordination across internal and external stakeholders. The ideal candidate is highly available, organized, proactive, discreet, and capable of anticipating needs in a fast-paced executive environment. You will also support the executive team with following-up with their key decisions and takeaways, you will help organise company events, and support with other relevant topics to the organization.
WHAT WILL YOU WORK ON
- Calendar Management:
- Manage the CEO’s calendar, ensuring optimal time allocation and alignment with company priorities
- Coordinate, schedule, and confirm all executive-level meetings, ensuring alignment with strategic priorities and minimizing scheduling conflicts
- Email Management: Monitor and manage the CEO’s inbox with discretion, ensuring timely, prioritized, and professional communication aligned with strategic priorities; draft and proofread emails, proactively follow up on outstanding items, and maintain an organized system for easy retrieval and efficient collaboration with internal teams
- Travel Management: Plan and coordinate business trips, including flights, accommodations, and local transport for the CEO (and companions, if applicable)
- Social Media & LinkedIn Management: Monitor and manage the CEO’s LinkedIn profile (sourcing, messages, connection requests, post engagement, and comments)
- Admin & Events:
- Support the organisation on meetings and events management (e.g. training sessions, townhalls, team gatherings)
- Support executives with administrative tasks (e.g. prepare, reconcile, and submit expense and mileage reports)
- Follow-up on Executive Decisions and Takeaways:
- Ensure all key decisions and action items from the executive team (especially those involving the CEO) are tracked, communicated clearly, and followed through across the organization; proactively push for updates, remove blockers, and maintain accountability to drive timely execution and alignment with strategic priorities
WHAT ARE WE LOOKING FOR
- Fluency in both English and Portuguese (spoken and written)
- Exceptional organizational and time-management abilities
- Strong communication and interpersonal skills
- High level of discretion and ability to manage confidential and sensitive information
- Highly available, responsive, and flexible
- Proactive, resourceful, and problem-solving oriented
- Excellent judgment and decision-making ability under pressure
- Ability to anticipate needs and think several steps ahead
- Strong stakeholder management and relationship-building skills
- It is a plus if you have proven experience as an Executive Assistant or in a similar high-level administrative role, ideally supporting C-suite executives
